What is Interlibrary Loan (ILL)?
ILL is the sharing of material between two libraries. If you need material NOT available through the Ursuline College Library we will attempt to get them for you from another library. The conditions of ILL service are established by the National Interlibrary Loan Code, 1980 (adopted by the American Library Association).
Who may use ILL?
This service is extended to current students, faculty and staff of Ursuline College, and nuns of the Ursuline community. This does not include Friends of the Library, or alumni of the college.
What is the charge for a request?
There is a non-refundable fee of $1.00 per request to be paid at the time the request is made for students and nuns of the Ursuline community.
How long does it take?
Requests are processed, usually with 24 hours, and the materials usually arrive within two weeks. However, some may arrive sooner and some take longer depending on where the items are being obtained. The DATE NEEDED BY information informs the ILL staff when to discontinue efforts to obtain the desired item. If no date is supplied, 30 days after receipt of the request all attempts to obtain the material will stop.
How many items may I request?
Undergraduate students may request up to 4 items per week. Graduate students and faculty must talk with the ILL department if planning to place a large number of requests. Copyright restrictions are monitored by the ILL department. Only 5 articles from each journal title from the last five years can be borrowed during each calendar year by the entire Ursuine community. Requests in excess of this limit will be returned to the person requesting them.
How will I be notified?
The ILL department will try to notify each patron by phone or email. Please check with the circulation desk in case the ILL department was unable to reach you by phone. Unclaimed books will be returned to the lending library, and unclaimed photocopies will be discarded at the end of the semester.
Are there restrictions?
Some materials are unavailable through Interlibrary Loan. An item may be in use at another library, may be too fragile to ship, or may be missing from the shelves. Frequently, libraries will not loan reference books, rare books, microfilm, dissertations, technical reports, and audiovisual materials. Materials borrowed from other libraries may not be placed on reserve. The lending library may specify that their books may only be used in the library, or that loaned materials may not be photocopied, and all are subject to recall at an time.
Loan Periods and Renewals?
Loan periods are determined by the lending library, and are usually two to three weeks, but may be less. Since most libraries will not grant renewals, every effort should be made to return materials to the ILL counter on or before the due date. However, if a renewal is necessary, contact the ILL department five days in advance of the due date.
How much are overdue fines?
A charge of $1.00 per day for students and $.50 per day for faculty will be assessed beginning the day after the due date for every day that the library is open. A person who keeps the material 30 days beyond the due date or renewal date, will be billed for the cost of the item and a surcharge of $10.00. ILL materials may be returned to the ILL desk, or to the book drop if the library is closed. Charges will be made for replacement of lost and damaged materials. Your signature on the request form indicates that you accept responsibility for lost or damaged borrowed material. Registration will be blocked and/or grades will be held if charges are not paid.
How do I request an ILL?
Print off copies of the ILL Request Form, fill out the form and submit the completed forms to the ILL Assistant or to a Reference Librarian. A separate request for each item requested must be filled out. The ILL form must be filled out completely as possible, including source of reference (where you found your information). Before filling out the request form, always:
- Check holdings statements on ORACLE or through the Find a Journal Title service to ensure that we do not own the item or it is not available online.
- Check the OhioLINK Catalog on the Ursuline College Library catalog (after searching choose the OhioLINK search option). If the book you need is available, it can be ordered directly from the OhioLINK Catalog. OhioLINK ordered books usually arrive with 3 workings days. Even when pages are needed from proceeding or books, OhioLINK ordering of the entire item will be faster than traditional ILL methods.
- Verify the citation by checking with a reference librarian or ILL staff member.
- Fill out the request form.
- Submit one request per item.
- Fill out form as completely as possible.
- Include the source of reference (where you found the citation). For example, CINAHL Plus, MEDLINE, PSYCHInfo, etc.
