Academic Advising and Retention Coordinator

Summary
The Academic Advising and Retention Coordinator is responsible for managing multiple initiatives that contribute directly to student success, retention, and graduation rates for traditional undergraduate students. The AARC supports students in achieving their educational and personal goals, provides outreach and support activities to help students develop skills for success, and fosters a community of belonging, ultimately leading to degree completion. The AARC is an integral position in the retention efforts of Ursuline College. This position reports to the Registrar and Director of Academic Operations.
Responsibilities
- Content Administrator of the retention management software system. Point person for daily operations of the system, including, but not limited to, care group assistance, communications, messaging and campaigns, surveys, early alerts and referrals management.
- Responsible for Student Success functions, including utilizing the early alert system and facilitating student connections.
- Chair of the Student Success Committee, which uses alert data to “triage” the students who are most at risk of not being retained.
- Academic Advising:
- Member of the Admissions Review Committee.
- Co-chair of the Advising Committee.
- Provide training and assistance to faculty advisors as needed
- Coordinates, in conjunction with the Registrar, and Orientation Coordinator, the summer advising and registration days for new incoming traditional undergraduate students.
- Academic advisor for all undeclared majors.
- Assist students considering major changes.
- Academic coach for conditionally admitted students, and students on warning and probation.
- Coordinate and lead advising workshops to enhance students’ understanding of the registration process, auditing their degree, important dates, and other skills related to student development.
- Follow up with unregistered students.
- Assists with Progress Towards Degree (PTD) checks for student athletes in conjunction with the Registrar and Director of Athletics.
- Skills Coaching:
- Build trust to identify student needs by active listening, showing genuine interest in their concerns and perspectives.
- Assist students in setting realistic and achievable goals.
- Provide positive reinforcement and encourage to boost students’ confidence and motivation.
- Encourage students to reflect on their experiences and academic strategies.
- Provide/coordinate workshops on topics such as study habits development, time management, stress management, communication and interpersonal skills, flexibility, planning and prioritizing, goal setting.
- Grant programs responsibilities:
- Coordinates Choose Ohio First grant program activities, including data tracking and reporting.
- Works closely with other grant coordinators including the HRSA STAR Scholars Nursing Workforce Diversity grant to ensure optimal sharing of resources and expenses across grants.
- Other
- Manages the process for student withdrawal from the College, including the exit interview process. This position is also responsible for the student athlete exit survey process
- Retention Committee member.
- Serves as a bridge between campus departments, fostering collaboration
- Maintain student files, records and data in accordance with federal, state, and college regulations and policies.
Qualifications
- Master of Arts in Higher Education Personnel/Counseling (preferred); Master’s or Bachelor’s degree in related areas considered.
- At least 3 year’s experience working with college students, preferably first-time/full- time.
- Strong technology skills, including Microsoft Office.
- Experience with a student information system and retention software is a plus.
- Excellent analytical, organizational and communication skills required.
- Strong interpersonal skills and the ability to work effectively and collegially with faculty, administrators, students, and colleagues.
- Possess a high degree of independence, judgement, problem-solving, and persuasiveness.
- Ability to motivate and coach others and be an active listener
- Ability to manage multiple projects in a team environment and prioritize workloads
- Demonstrate experience working in a diverse academic community.
