    Graduate Admission Counselor

    Summary

    Ursuline College has an opportunity to join the Office of Graduate Admission. The Admission staff contributes greatly to maintaining and enhancing Ursuline’s reputation, including playing a vital role in continuing the efforts to present Ursuline College to prospective students.

    The Graduate Admission Counselor works cooperatively with the Executive Director and Assistant Director of Graduate Admission to implement recruitment and marketing plans, and to manage graduate inquiries and applicants for select graduate programs. Reports to the Assistant Director of Graduate Admission.

    Recruitment

    • Manage a program-specific territory, developing strategies for improving market share and meeting enrollment goals.
    • Participate in recruitment activities to meet enrollment and revenue goals. Recruitment activities may include but are not limited to graduate school and corporate education fairs, meetings with school counselors/Career Services/faculty of feeder schools, career fairs, networking with alumnae, planning or participating in on/off campus events.
    • Implements and represents the programs through various events such as information sessions, alumnae events and corporate sponsored events to achieve enrollment goals.
    • Analyze recruitment strategies and report progress towards goals during bi-weekly meetings with supervisor.
    • Develop and adopt evolving admission procedures for recruitment through innovative best practices to meet the needs of applicants.
    • Determine student interest from point of inquiry through the deposit stage utilizing telephone, electronic, and written communication, as well as available technology. Initiates contact by telephone with prospective students using the consultative selling approach and develops leads via email, phone contact and web research, converting leads to applicants and then to matriculated students.
    • Advise prospective students and/or families in one-on-one meetings on campus or virtually.
    • Interface and coordinate with individual program directors to provide customized support throughout the application process.
    • Prepares packets of informational material for potential applicants and coordinates bulk mailings.

    Operations

    • Maintains student records in a database management system, including records of inquiries/prospective student, the referral source, interviews, transcripts, applications, deposits and enrollments.
    • Plan event logistics with Graduate Admission staff, faculty and outside vendors.
    • Maintain inventory of all recruitment materials and purchase supplies as needed.
    • Maintain knowledge of financial aid process and policies, academic programs and curriculum, general NCAA compliance topics, student life, etc.

    Technology

    • Assist with Slate communication deployment to students from prospect to deposit stage, with particular attention paid to conversion of students through the enrollment funnel.
    • Update prospective and current student information in Slate.
    • Prepare reports as requested.
    • Produce database queries in support of direct mail campaigns.

    Qualifications

    A bachelor’s degree in supportive discipline with appropriate experience. Prior admission experience at a private college or small university having several graduate programs. Must be detail-oriented and highly organized; excellent written and verbal communication skills; presentation skills; excellent grammar and proofreading skills; customer service oriented. Ease and confidence in communicating with professionals at all levels. Ability to build and maintain effective working partnerships with student clients, alumni and faculty and must be able to work independently and with teams. Working knowledge of sales and marketing. Proficiency with Microsoft Office including Excel; Web site administration skills and knowledge; Jenzabar and Slate experience a plus (or other higher-education database experience). Ability to work evenings and Saturdays as needed. Valid driver’s license and ability to travel. Demonstrated experience working in an inclusive community.
